TYPES OF APPOINTMENTS

  1. RECURRING BOOKINGS (WEEKLY OR BI-WEEKLY)
    1. These bookings have been agreed upon by the client and the instructor.
    2. Recurring bookings hold a specific day and time in the instructor’s schedule until a change is requested.
  2. SINGLE BOOKINGS
    1. These bookings are scheduled on a one-time basis by the client.
    2. Clients requesting single bookings understand that the studio is unable to hold a specific day or time with an instructor free for any future bookings.
    3. Single bookings are still required to follow studio policies.

INVOICES & PAYMENTS

  1. RECURRING BOOKINGS (WEEKLY OR BI-WEEKLY)
    1. Monthly invoices will be sent out on the 1st of each month for that month of lessons (i.e., pre-paid)
    2. Invoice payments for the month is due 7 days of receiving your invoice.
    3. Payment options are located on the invoice and include cash, e-Transfer, Debit, Credit, and pre-authorized payment (via credit card).
    4. Clients can request alternate payment schedules, but it must first be approved by an administrator.
    5. If an alternate payment schedule is approved, clients will still be responsible for the remaining studio policies, including late-cancellation notices.
  2. SINGLE BOOKINGS
    1. Students booking single appointments are expected to pay for sessions directly after their completion.
    2. In-person payment options include Credit, Debit, or cash.

LESSON CANCELLATION POLICY

  1. CLIENT CANCELLATION REQUESTS FOR RECURRING LESSONS (WEEKLY OR BI-WEEKLY)
    1. Cancellations, absences, and holidays can be accommodated with at least 7 days’ notice.
    2. Prepaid lessons that are cancelled may be deferred as credits towards make-up lessons or towards future lessons.
    3. A minimum of 24 hours’ notice is required for short-notice cancellations to qualify for a make-up lesson. Lessons with less than 24 hours’ notice may not be guaranteed a make-up credit.
    4. Exceptions to this policy may be made for emergencies or extenuating circumstances.
  2. CLIENT CANCELLATION REQUESTS FOR SINGLE BOOKINGS
    1. Cancellations can be accommodated with at least 24 hours’ notice.
    2. For lessons scheduled on Mondays, cancellations must be requested by Saturday at 5:00PM at the latest.
    3. Cancellations less than 24 hours’ notice or absences (i.e., client did not show up for scheduled lesson) will be charged for the lesson.
    4. Make-up lesson credits cannot be generated for single bookings.
    5. Exceptions to this policy may be made for emergencies or extenuating circumstances.
  3. STUDIO CANCELLATIONS (HOLIDAYS, WEATHER, INSTRUCTORS ABSENT)
    1. In the event of inclement weather conditions, Ekko will contact all affected students directly to confirm whether lessons will be held virtually or cancelled.

    2. The studio will be closed on all statutory holidays. Please check with the administration to confirm if a lesson is scheduled for a holiday.
    3. Instructors may sometimes request to cancel a lesson (e.g., sick, performances, vacation, etc.). In these cases, we try to provide the clients with as much notice possible and try to provide a substitute instructor or reschedule the booking. In the cases where a substitute cannot be found, students will be credited the missed lesson to their account.

MAKE-UP LESSONS & CREDITS

  1. It is the responsibility of the student/parent to request a make-up lesson. Make-up lessons are not guaranteed, and it is up to the discretion and availability of the instructor. 
  2. All make-up credits expire 30-days after being issued.
  3. Cancelled make-up lessons forfeit that make-up credit (i.e., there are no make-up lessons for make-up lessons). 

LESSON TERMINATION

  1. Students and/or parents who wish to terminate lessons altogether must provide a minimum of one business days’ notice to avoid being invoiced for a prepaid lesson.
  2. Any credit balances on accounts can be requested to be refunded upon termination.
  3. Ekko Mindful Music Studio reserves the right to terminate lessons due to excessive absenteeism, missed payments, or for abusive/violent behaviour.

  1. If you or anyone within your household is feeling ill, please reach out to the studio and we will do our best to accommodate your specific situation.
  2. Please do not attend in-person lessons if you are feeling unwell.
